Information we collect

When you enquire, book or attend, we may collect:

  • Your name, email address and telephone number.
  • Your child’s name and age or date of birth.
  • Booking details, attendance records and communications.
  • Your postal address when sending massage oil.
  • Relevant information about allergies, health conditions or accessibility needs.
  • Consent records and course feedback.
  • Photographs or videos, where you have given separate permission.
We collect information directly from you and through the booking platform you use. Please provide only information relevant to your booking or participation.

How and why we use your information

We use your information to manage bookings, communicate session details or changes, send massage oil, support participation and respond to questions or concerns.

Our lawful bases are:

  • Contract: to arrange and deliver the sessions you book.
  • Legitimate interests: to respond to enquiries, manage attendance and improve our services, where these interests do not override your rights.
  • Legal obligation: where we must retain or disclose information by law.
  • Consent: for optional marketing, promotional photographs and identifiable training case-study material.
For relevant health information, we request your explicit consent to collect and use it for assessing suitability and supporting participation. We request this separately from acceptance of booking terms.

If you choose not to provide information needed to arrange your booking or assess suitability, we may be unable to complete the booking or confirm participation.

Baby massage training and case studies

Our current free baby massage course forms part of Chantal’s instructor training.

Feedback and learning reflections may be used for assessment. Wherever possible, these will be anonymised so you and your child cannot be identified. If identifiable information is needed, we will explain what will be shared, with whom and why, and request separate consent beforehand.

Marketing and photographs

Booking a class does not automatically subscribe you to marketing. We will ask separately if you would like updates about future classes or events.

We will also request separate permission before using identifiable photographs or videos for promotion. You can decline without affecting your booking and withdraw consent for future use by contacting us.

Who we share information with

We share only information needed for the relevant purpose. Recipients may include:

  • Booking, email and secure storage providers used to administer sessions.
  • Postal or delivery providers sending your massage oil.
  • Our training provider, where separately explained and authorised.
  • Insurers, professional advisers or authorities where necessary and lawful.
We do not sell your personal information or share it with other businesses for their own marketing.

Happity and any external booking platform may also process information under their own privacy notices. Please read the notice for the platform you use.

Storage and security

We use appropriate safeguards to protect digital and paper records and restrict access to people who need the information.

How long we keep information

We keep information only for as long as needed for its purpose, taking account of legal, insurance and training requirements.

Our retention periods are:

  • Booking, attendance and correspondence records: 7years
  • Health and consent records: 7years
  • Training case-study records: 7years
  • Accident or incident records: 7years
  • Marketing details are kept until you unsubscribe or we no longer need them. We may retain a minimal opt-out record to ensure you are not contacted again. Information is securely deleted or anonymised when no longer required.
Your rights

Depending on the circumstances, you may have the right to access your information, correct inaccuracies, request deletion, restrict processing, object to processing or request a portable copy.

Where we rely on consent, you can withdraw it at any time. This does not affect the lawfulness of processing before withdrawal. If you withdraw consent for health information needed to assess participation, we will discuss whether we can continue providing the session safely.

To make a request about your information or your child’s information, contact hello.discoveryjunction@gmail.com

Questions or complaints

Please contact us if you have any concerns about how we handle your information.

You also have the right to complain to the Information Commissioner’s Office: https://ico.org.uk/.

Changes to this policy

We may update this policy as our services develop. The latest version will show its revision date, and we will communicate significant changes where appropriate.
